The privacy and security of your personal information is very important to us here at The Buoys and we are committed to protecting it.  This Privacy Policy aims to give you information about how and why we use your personal data we collect from you, or that you provide to us. 

For clarity, The Buoys may be both ‘data controller’ and ‘data processor’ for your personal data under certain circumstances.

Who we are

The Buoys is a family owned holiday let property based in Frinton-on-Sea, Essex.

What do we collect

The Buoys collects the details provided by you in the following ways:

  • on your completed online booking form through the ‘Promote My Place’ website;
  • on your completed paper booking form, sent directly from us;
  • on your booking confirmation sent directly to us from Boyden’s;
  • via e-mail enquiries and/or bookings you make with us directly;
  • via telephone enquiries and/or bookings you make with us directly.

We ask for the following information in order to manage your booking effectively:

  • Names of all guests
  • Address
  • Telephone Number
  • E-mail address
  • Any special requirements you may have

What we do with your personal data

All personal information that we collect about you will be recorded, used, and protected by us in accordance the EU General Data Protection Regulation (from 25 May 2018)/UK Data Protection Act and Privacy of Electronic Communication Regulation.

Personal data provided to us will be used for the purpose or purposes outlined in the Privacy Policy in a transparent manner at the time of booking where appropriate, in accordance with any preferences you express.

In broad terms, we use your data for the following purposes:

  • to enable us to manage your booking;
  • for record keeping purposes;
  • to carry out market research to improve the service we offer;
  • to personalise any communications that we may send you;
  • to personalise any marketing communications that you may consent to receive from us.


We will only collect information about children where we have the express consent from the child’s parental guardian.

Where we store your personal data

Your booking form and/or e-mail correspondence are stored as paper copies in our booking folder which is kept securely.  In addition, information pertaining to your booking may also be retained electronically on a secure hard drive.

All the personal data we retain is stored within the European Economic Area (EEA).

Marketing communications 

We would like to use your details to keep you updated about availability, potential offers, or relevant information about the property.  We will only send you this information if you agree to receive it.

Social Media

Our website and social media pages may allow you to connect and share your actions, comments, content, and information publicly, and with friends.

Please be mindful of your personal privacy needs and the privacy needs of others as you decide whom to connect with and what to share and make public. We cannot control the privacy or security of information you choose to make public or share with others.

The Buoys also does not control the privacy practices of third-party platforms. Please contact those sites and services directly to understand their privacy practices.

Subject Access Rights

You have a right to access the personal data that is held about you. To obtain a copy of the personal information The Buoys holds about you, please write to us at the following address: The Buoys, 23 Warley Way, Frinton-on-Sea, Essex, CO13 9PA enclosing your postal details. We ask that you provide the following information:

  • The personal information you wish to access;
  • Where it is likely to be held;
  • The date range of the information you wish to access

We will also require you to provide information that will help us confirm your identity. In the event that we hold personal information about you, we will provide you with a copy of the information within one month.  Please note that should your request be complex we reserve the right to extend this period by up to two months.

You may correct or update your personal information at any time by emailing us at Please include your name, address, date of birth and email address to this which helps us to ensure that we accept amendments from the correct person.

You may also request for your personal information to be removed from our database at any time. Details will only remain if relevant to fulfil a product purchased or to prevent you from being sent further communication in the future.

We will securely retain your information for as long as is reasonably necessary and in accordance with applicable law. If you wish to submit a request that your data be deleted, please write to us at the above address.

Third Parties

We will never share your personal details with any third party. We will only use them to communicate with you. 

Our website may, from time to time, contain links to and from third parties.   If you follow a link to any of these websites, please note that these websites have their own privacy policies and that we do not accept any responsibility or liability for these policies. Please check these policies before you submit any personal data to these websites.

In the event of a data breach, we shall ensure that our obligations under applicable data protection laws are complied with where necessary.


Our website uses cookies to collect information about your activity, browser and device and to distinguish you from other users in order to improve you web browsing experience.

If you prefer, you can remove or reject browser cookies through the settings on your browser or device. However, rejecting or removing cookies could affect the availability and functionality of our services.


The entrance way to the overall property is covered by Closed Circuit Television (CCTV) and you may be recorded when you visit.

CCTV is used to protect the property, the owners and their visitors.  Footage is stored securely via Nest, is automatically deleted after 30 days and would only be reviewed in the event of a security concern.

The Buoys complies with the Information Commissioner’s Office CCTV Code of Practice and we put up notices so you know when CCTV is used. 

Retention Periods

We will retain your personal data for as long as is reasonably needed to be able to provide our services to you.

If reasonably necessary or required to meet legal, regulatory and/or accountancy obligations we may keep your data for up to 7 years after it is no longer needed to provide our services to you.

We assure you that your personal data shall only be used for these purposes stated herein.
